Sasha Wallen, Project Manager

Project management is a constant thread in all our digital projects at Studio Republic. It doesn’t often take centre stage but it is a core function that works tirelessly behind the scenes. But, what is project management all about?

Firstly, at Studio Republic there are two of us that work as Project Managers, myself (Sasha) and Christina, and we’re responsible for overseeing a project from start to finish following the waterfall methodology. We scope the entirety of the project and offer a fixed fee and time-stamped roadmap to ensure agreed outputs are delivered on time and on budget. We’re involved in every step of the project journey, so having a clear plan mapped out is essential.

In this guide, we’ll take you through our personal rule book of project management for charities and how we ensure the ultimate success for every single website or design project.

Project management principles

Our project management approach is grounded in three core principles that shape every stage of the journey: transparency, communication, and collaboration. These are the building blocks that guide how we work, how we engage with clients, and how we deliver projects that not only succeed but create lasting impact for the charities we partner with.

Transparency

Transparency is at the heart of everything we do. It means being open and honest at every stage of a project, from the very first conversation to final delivery. We believe that clarity builds trust, and trust builds stronger partnerships.

We start by setting clear expectations, outlining deliverables, timelines, and responsibilities from the outset. This ensures that everyone knows what to expect and what success looks like. Throughout the project, we share progress updates, discuss potential risks early, and work together to make informed decisions.

This level of openness extends beyond our client relationships. Within our team, transparency means that every project member is properly briefed, understands the objectives, and knows how their work contributes to the wider goal. By keeping everyone on the same page, we avoid surprises, build accountability, and maintain momentum throughout the process.

Communication

Strong communication is what keeps a project moving forward smoothly. It’s not just about sharing information but about creating space for meaningful conversation and collaboration.

We hold regular weekly check-ins with our clients to review milestones, discuss priorities, and address any questions that arise. These meetings keep everyone aligned, ensure timelines stay on track, and give clients the reassurance that their project is progressing as planned.

Beyond meetings, we maintain an open line of communication through shared project tools and prompt responses to messages or feedback. This consistent, proactive communication helps prevent misunderstandings and ensures that any challenges are addressed quickly and constructively.

By keeping dialogue flowing in both directions, we nurture the close working relationships that we’re known for, ones built on mutual respect, trust, and shared purpose.

Collaboration

Collaboration is where transparency and communication come together. We see every project as a partnership, not a transaction. That means working side by side with our clients, combining your organisational knowledge with our digital expertise to create the best possible outcomes.

From the first discovery workshop through to key sign-off points, we make sure you’re involved at every stage. Your insight shapes the project’s direction, helping us make confident, informed decisions that reflect your charity’s goals and your audience’s needs.

This collaborative approach ensures that the final product doesn’t just meet the brief but captures the essence of your mission. It also makes the journey more enjoyable, empowering everyone involved to take ownership of the process and celebrate the results together.

By building every project on the principles of transparency, communication, and collaboration, we create an environment where creativity thrives, challenges are addressed early, and outcomes exceed expectations. These values sit at the core of our work and are key to delivering digital projects that truly help charities amplify their purpose and create positive change.

Practical project management tips

With our three core principles forming the foundation of a great client experience, the next step is putting them into practice. Our project management tactics turn those principles into action, helping us deliver seamless, successful projects for charities. These are the methods that hold everything together and enable us to meet, and often exceed, our clients’ expectations.

Know your goals

Every project starts with clear goals. They are our north star, guiding us towards a shared destination. That’s why we begin each new project with a detailed scoping session. This is where we dig into your charity’s aims, uncover your needs, and define exactly what success looks like.

We run dedicated scoping sessions across design, UX, and development so every aspect is covered. From there, we create a roadmap that outlines key milestones, responsibilities, and deliverables. Scoping is the foundation of every successful project, so we never start without it. It gives us clarity, direction, and the confidence to move forward with purpose.

Organisation, organisation, organisation!

Organisation is at the heart of effective project management. With multiple projects running at once, we need systems that are robust, reliable, and flexible. We keep detailed documentation covering everything from resources and timelines to forecasts and risks. This allows us to maintain momentum, anticipate challenges, and ensure smooth delivery every step of the way.

Being organised also means we can support one another when needed. If one of us steps in on a project, the groundwork is already there. Nothing is missed, and clients continue to receive the same level of care and attention.

Always be on time

Timeliness is essential for building trust and delivering impact. That’s why our project roadmaps are such a valuable tool. They clearly outline milestones and realistic timeframes, helping us stay accountable to both our clients and ourselves.

We know that even a small delay can have a knock-on effect, so we work hard to keep projects on track. By managing our time effectively, we create the consistency and reliability that our charity partners can depend on.

Be flexible

Adaptability is just as important as organisation. In project management, things don’t always go to plan. Priorities shift, requirements evolve, and unexpected challenges can appear. Being flexible means we can handle these changes confidently and calmly.

We approach every challenge as an opportunity to learn and refine. Sometimes that means finding new, creative ways to achieve the same goal. Flexibility doesn’t mean losing focus, it means responding proactively so that the end result still delivers exactly what’s needed.

Invest in quality tools

Strong tools are the backbone of strong project management. The right software helps us stay connected, informed, and in control. We use Productive, a powerful platform that enables us to schedule projects, track progress, and manage budgets all in one place.

It gives us complete visibility across our work, from time logging and resourcing to technical support and issue tracking. Having a reliable, intuitive system streamlines our processes and ensures nothing falls through the cracks. More importantly, it helps us maintain the quality and efficiency that every charity deserves.

By combining clear goals, strong organisation, flexibility, and the right tools, we are able to deliver projects that not only run smoothly but also create real impact. For us, project management is not just about keeping tasks on track, it is about empowering charities to achieve more through digital transformation.

Summary

In summary, while we have well-defined processes in place to set every project up for success, we recognise that no process is ever truly finished. Each project we deliver teaches us something new, and we use that learning to continually refine and improve the way we work. This commitment to reflection and improvement helps us stay adaptable, transparent and aligned with the evolving needs of our clients and their audiences.

As Project Managers, our aim is to deliver outcomes that go beyond expectations. We focus on building strong relationships, maintaining clear communication, and keeping projects on track — both in terms of time and budget. We understand that for charities, every resource matters, and it’s our responsibility to make sure those resources are used as effectively as possible.

By managing projects with care, attention and purpose, we create the foundations for meaningful digital change. It’s not just about launching a website; it’s about helping charities amplify their purpose, connect with more people, and support ethical, sustainable growth. Every successful project strengthens our collective impact, empowering charities to make an even greater difference in the world.
